This app may share these data types with third parties Location, App activity and App info and performance. This app may collect these data types Personal info, App activity and 2 others. Data is encrypted in transit. You can request that data be deleted.

Yeah let's just complicate things more because technology is supposed to make life easier. I mean, I sure hope nobody steals my highly classified estimates and invoices. We recommend installing the Xero Verify authenticator app so you can receive push notifications for quick and easy authentication.

Types of authenticator app and notifications Multi-factor authentication MFA provides a second layer of security that stops anyone else accessing your Xero account, even if they know your password. You should never share passwords with others. An authenticator app installed on a smartphone, device or computer with an internet connection. Access to your Xero organisation with a web browser.

A backup email address, which is different to the one you use to log in to Xero. You can choose security questions and answers instead of a backup email address. Learn more about MFA in our other support article on this topic. Go to the Xero login screen. Enter your email address and password, then click Log in.

Click Set up multi-factor authentication. Choose an authenticator app. To use push notifications, select Xero Verify. Click the plus button to add your Xero account. A screen like this will appear, prompting you to add a key.

Go back to Xero and copy the key. Paste it into the Auth app. Make sure the 6-digit token length is selected. Of course, we recommend Xero Verify. Using the Google Authenticator app does not link your Xero or WorkflowMax account to Google, and does not require you to have a Google account.

You are welcome to have either. We recommend Xero Verify. Xero Verify is only used to authenticate your Xero or WorkflowMax account. You will need to set up and use MFA. To receive a push notification with the Xero Verify app, you need to be connected to the internet.

Authentication apps continually generate new codes that are valid for around 30 seconds. Not for Xero Verify. However, if you are using a third party authentication app such as Google Authenticator or Authy you need to make sure the time on your authenticator device is in sync with the Xero login system.

Xero login uses an automatic clock service to set the time, as do most mobile device service providers, so we recommend you allow your network provider to set the time automatically.

Manually setting the time can lead to out-of-sync issues and an invalid code error. Visit our guide to using MFA with a new device for step-by-step instructions.

Everyone logging into Xero or WorkflowMax who has access to an organisation needs to have MFA enabled on their account. You only need one instance of the authenticator app for each person to be able to log into their Xero or WorkflowMax account. A push notification is a pop-up notification that is sent to your mobile device. You simply tap a button to approve or deny access.

You should use a strong and unique password with your backup email. Xero has put extra resources into place to help businesses who experience this issue. Please log a case immediately and someone should be in touch within a few hours. This also takes customers to a form for raising an unauthenticated case.

The form can also be accessed from the Status Page. On the next page you can select from a series of secret questions - remember that these are CASE and s p a c e sensitive. These are the questions you need if you lose your phone or cant access it to be able to get into Xero. Once you have set the questions click on "Continue". The next step is Alternative email address. Note that for doing this you need to have access to that email address to verify the code that is sent to it.

We strongly recommend setting this up however if you do not have access to an alternative email you can click "Not Now".

Once you have entered the code from the email or clicked not now you will be back on the Xero account screen and can see it says that Two step authentication is enabled and ready to go on your new device. Now - the above process is really if you do not have access to your old device. If you still have access to your old device and you are using "Google Authenticator" you can export 10 codes at a time using the app - once you export you need to scan a QR code displayed on your old device on to you new device to complete the move.
